Order Processing Overview

Order processing is the process or work-flow associated with the picking, packing and delivery of the packed items to a shipping carrier. Order Processing is a key element of order fulfillment.

Efficient and accurate order processing is essential to the success of any enterprise seller. A truly efficient system will require that orders must be verified with customers to ensure there are no questions about what the customer wants. Once the order is verified, the items needed to fill the order accurately must be collected in a timely fashion. After collecting the necessary products, they must be packaged securely and delivered to the customer within the time frame promised. Failure to efficiently manage any of these tasks increases the chances of disappointing the customer, and thus losing any possibility of repeat business.

Order Processing Module 

Managing Orders(Orders Dashboard):

The order processing stage begins with Managing orders where the orders placed and picked from various marketplaces are shown in the manage orders page image seen as below.

Over here you can see:

  • The Order Date which is the date on which the customer has placed the order 

  • Order ID is the ID created for that specific order

  • The Order Details consist of the Item Name, Quantity, ASIN which is Amazon Identification Number, SKU as in the seller’s Stock Keeping Unit.

  • Ship date which is the SLA within which the order must be shipped.

  • The various Order Statuses in managing orders are Pending Address Verification, Address Verified, In Process, Unshipped, Shipped etc.

  • Market place is the channels in which orders are placed and picked from.

  • Fulfillment - By which whom the order has been fulfilled.

 Customer Verification:

The process then continues with Customer verification which is nothing but verifying the Address of the customer.

Over here you can see some of the same things which are visible in the manage orders page such as:

  • Order Date which is the date on which the customer has placed the order.

  • Order ID is the ID created for that specific order

  • Order Details such as Product Name, Quantity, ASIN which is Amazon Identification Number, SKU as in the seller’s Stock Keeping Unit.

  • Market place which is the channels in which orders are placed and picked from

  • Fulfilment - By which whom the order has been fulfilled

  • Order Status - In customer verification Order Status is Pending Verification, Address Verified, Processing and Packaging.

  • The customer’s address details and state where the customers live as seen above. In case the State option is blank kindly select the state. Once the address has been verified click on pending verification under Action so that it moves from pending verification to address verified.

  • In Edit Customer Address You can edit details of Address, City, Postal Code, Phone Number. Once changes have been made click on save changes as seen below

Assigning Warehouse:

        The process is then continued with Assigning Warehouse. This process is not applicable if seller has only one warehouse available.

       

  • In Assigning Warehouse, the Order ID, and Order Details such as Seller SKU which is a unique ID that Identifies the item, the Product Name, Order Quantity and Fulfillable Quantity as in number of quantities that can be fulfilled for those orders can be seen above 

  • In Assigning a Warehouse you have the feature to assign warehouses for orders.

Process Orders:

The order processing stage then ends with Processing Orders 

Order Processing Stages:

1. Create Pick Task-

  • In Create Pick Task first select the Warehouse, then select the Use Date which is After Shipping Date and By Shipping Date (Sales Label Agreement) the orders should be prioritized based on the SLA. 

  • Single, Multiple, Both 

You can select single for creating a pick task for an order containing a single item. You can select Multiple for creating a pick task for an order containing multiple items and you can select Both for creating a pick task for both multiple and single items. Single, Multiple. Both help to filter the number of orders you must process.

Single is when there is when there is one order with one item. Multiple is when there is one order with more than one item.  Both is when there is both single and multiple order

The SKU is an additional filter to create a pick task for bulk orders, for example there is a specific SKU that has bulk orders one pick task will be created for those bulk orders

           

  • The batch size depends upon whether there is single, multiple or both orders and SKU

2. Ready to Pick

  • Once the pick task has been created you will be able to see Pick ID, when the Pick ID was created on and by whom 

  • If you click on Pick ID under Action you will be able to see the list of orders to be processed

In pick item the status is of the following

  • Picked means that pick task has been created

  • Packed means the item has been packed

  • In Process means the item is in the process of being shipped

3. Ready to Pack:

  • After the pick list has been created in Ready to Pack scan the Pick ID and scan the item.

  • Once the item and Packing Box ID has been scanned the system will generate an image for quality checking where MRP, Order ID, Order Quantity details will be displayed seen as above. 

4. Packing:

  •  In packing scan the Packing ID and Tracking ID which is AWB that is available with the generated invoice as seen above

  • Once the Packing ID and Tracking ID is scanned there will be a pop up stating that scanning was successful, and the item is in the process of being packed

5. Ready to Ship:

  • In Ready to Ship when selecting Ship group, you will see a list of couriers such as

  1. FedEx

  2. Blue Dart

  3. India Post

  • Once you have selected the courier, scan the Tracking ID that is the AWB which is available with the generated invoice, after clicking scanned orders you will be able to see the Order ID, ERP ID, SKU, Quantity and Status of the orders that are going shipped with those AWB Numbers as seen above.

      

6. Shipped:

  • In Shipped you will be able to see the Marketplace through which the order was placed and fulfilled by, Name of the Couriers and the Total Number of Orders that was shipped with that courier. You can Download the manifest file for the shipped orders where you can see the Tracking ID, Order, Order item ID, SKU, Quantity seen as seen below.
